Description
Purchasing: Purchase local spare parts, accessories, materials, equipment for the garage operations in line with specified cost, quality and delivery targets, Ensure continuous supply of required parts, materials and equipment, and communicate any supply problems which may pose a risk or impact on garage operations, Interface with garage technicians and ensure their parts and accessories needs are being met,Take garage technicians’ orders for parts and fill them as fast as possible, Assist garage technicians in determining parts and accessories requirements for individual jobs, Recommend related parts and accessories, which may be required for a job, Supply cost of parts information on repair orders, Coordinate with the Garage Supervisor for providing necessary funds to purchase the items required, Notify garage personnel when special parts or back-ordered parts are received, Receive and process parts from suppliers, check parts received against purchase invoice, Process non-conforming parts/material requests and return parts/material requests with suppliers to receive a refund, replacement, or repair during the item’s warranty period, Maintain cleanliness of parts and accessories and keep inventory neatly stacked and orderly, Conduct or participate in periodic physical inventory of all parts in stock (counts, reports etc.), Continuously learn more about the products purchased, develop and share knowledge of all parts and accessories, Build, maintain and manage supplier relationships and ensure good communications, professional and consistent approach is taken in all supplier relationships, Monitor market trends, new products. equipment, supplier strategies and offers, and advise Garage Supervisor and technicians accordingly, Research and evaluate areas of opportunity and reduce costs where possible, Negotiate with suppliers, improve prices and review opportunities to make savings utilizing negotiation and purchasing best practice and methods, Explore alternate sources for parts and materials and keep suppliers’ portfolio as large as possible, Assess and evaluate suppliers to ensure best purchasing deals for the garage operations, Provide excellence customer service to all of the garage’s internal customers, Purchase other garage requirements/items as and when necessary. Health and Safety (H&S) Assist in ensuring that garage technicians and workers comply with PPE requirements as applicable, Coordinate with the H&S Officer for all safety issues in the garage, Ensure H&S systems are practiced by all staff and visitors, Ensure accident/incident report forms are completed accurately as per policy, Investigate causes and implement controls for any non-serious harm accidents and /or near misses, Ensure actions from accidents/incidents are followed through, Stay up to date and aware of safety legislation and Al Nooh policy as it affects the work, undertake own duties as set out in the H&S Policy and Procedures. Reporting: Prepare weekly, monthly and Periodic purchasing reports for the Garage Supervisor, Prepare and submit monthly petty cash summary report, Attend meeting for work briefings and discussions and submit associated reports, Prepare documentation, present current issues at meetings and be involved in discussing all aspects of the garage purchasing and operations, Administration: Handle petty cash and cash reimbursement, update records regularly and maintain proper filing, documentation and reports, Record all communication and correspondence and ensure it is on the appropriate paper/electronic file and is up to date, entering required information in the database and backing up data, Develop and maintain knowledge and experience of relevant practices and technologies, Adhere to the organizational rules and regulations and any changes or introductions which may vary from time to time as deemed appropriate, Adhere to the organization’s H&S and Quality procedures, Perform other such duties as may occur from time to time as instructed and agreed with the Garage Supervisor. Management and Leadership: Support and interact with garage personnel to perform as a cohesive team, Develop and maintain effective communication and positive working relationship with both internal and external stakeholders, Contribute to team effort by accomplishing other job-related tasks as needed, enabling other workers to achieve their job objectives, Maintain professional and technical knowledge by attending training, workshops and reviewing professional publications.
